You will be the central coordination point for the team—managing communication, scheduling work, keeping databases up to date, and undertaking administrative processes that keep our work programmes running efficiently to a high standard.

Key responsibilities will include:

– Contacting tenants and leaseholders by phone to arrange appointments and using mail merge systems for bulk communications.
– Responding to queries from tenants, leaseholders, and contractors.
– Monitoring emails and workflow for the team, acting upon or reallocating tasks as needed.
– Scheduling contractor meetings, taking accurate minutes, and tracking follow‑up actions.
– Updating Excel spreadsheets and other databases.
– Supporting building surveyors in managing complaints, maintaining accurate records and systems.
– Assisting with performance monitoring, including telephone/email satisfaction checks.
– Programming door fobs for the access control system.
– Raising, varying, and closing work orders on the housing system.
– Keeping customers updated.
– Carrying out general administrative duties such as typing, scanning, filing, and managing post.
– Monitoring stationery and office supply levels.

About you:

You’ll have excellent communication skills and have worked in a customer facing role previously. You’ll have good knowledge of Microsoft packages including Outlook, Excel and Word and be confident with using IT systems.

Please note we reserve the right to close the vacancy prior to the advertised closing date.
